Order Processor Directions - Import To UPS

Below are the directions for setting up and completing your first import from the Order Processor in to UPS Worldship. The directions are long (they don't make it easy), but once it is set up any future imports should go quickly. So get your cup of coffee ready (and at least one order loaded in the order processor) and we'll get started.

You must complete these steps in order though they are broken down into logical sections so you can take a break if needed.

First, you have two import options. You can import as packages or to the address book. The address book option works best for most cases unless you are exporting standard weights with your shipments. It also allows you to enter the order number in the Customer ID to pull up all the information.

Importing To The Address Book

Part 1 - Export one order from the order processor

  1. Start the order processor
  2. Click on export shipping
  3. Select at least one order to export (more is fine)
  4. Select UPS Worldship as the export type
  5. Click OK
  6. Save your file to c:\ups\YOPTOUPS.csv
  7. Click Save
  8. You will be asked about a standard weight. If your shipments all have a pretty standard weight you can enter it to help further expedite the process, or leave it blank if you need to review each package before shipping.
  9. Click Ok when the file export message appears and you can now exit the order processor.
Part 2 - Setting up the Data Source for UPS Worldship to access your file
  1. Go to your ODBC Data Sources by Clicking on Start, then Settings, then Control Panel, then Administrative Tools and then Data sources (ODBC). On some versions of windows the Data Sources option will be directly on the Control Panel Screen.
  2. Click on System DSN
  3. Click on Add
  4. Find the "Microsoft Text Driver" in the list and click Finish
  5. Enter "YOPTOUPS" (without the quotes) for the Data Source Name
  6. Uncheck the Use current Directory box
  7. Click on Select Directory
  8. Browse the directories to find the C:\UPS folder and click OK
  9. Click OK
  10. Click OK Again to close the Data Sources page
Part 3 - Download and install file for data definition
  1. Download the file from http://www.ystoretools.com/yop/schema.ini and save it to c:\ups\schema.ini
Part 4 - Set up the import format into Worldship
  1. Open UPS OnLine WorldShip
  2. Click on UPS OnLine Connect, located at the top of the window
  3. Click on the Create/Edit Map option
  4. Click on Import from ODBC database
  5. Select Address from the drop down box
  6. Enter YOPTOUPS for the name
  7. Click Create
  8. Click on YOPTOUPS and click OK
  9. Use the drop down arrow under ODBC Tables to select "YOPTOUPS.CSV"
  10. Below are the fields you need to click on and then click connect to link them up

    Click on ORDERNUMBER (under ODBC Tables) and click on Customer ID and click Connect

    Now do these same steps for the following field combinations (click on each and click connect):

    • ShipToName - Company Or Name
    • ShipToStreet - Street
    • ShipToAddress2 - Room/Floor/Address2
    • ShipToCountry - Country
    • ShipToZip - Postal/Zip Code
    • ShipToCity - City
    • ShipToState - State
    • ShipPhone - Telephone
    • Email - EMail Address
  11. Now click on ORDERNUMBER under the ODBC Fields and Click on Define Key
  12. Click Ok
  13. Click OK again to exit the create/edit map screen
You have now officially created the mapping to import data to Worldship. So to import the data from the order processor you would follow the steps (listed after the importing as shipments steps) on a daily (or whenever) basis. Part 1 is identical to the first portion you ran when starting the import setup.

Importing As Shipments

Part 1 - Export one order from the order processor

  1. Start the order processor
  2. Click on export shipping
  3. Select at least one order to export (more is fine)
  4. Select UPS Worldship as the export type
  5. Click OK
  6. Save your file to c:\ups\YOPTOUPS.csv
  7. Click Save
  8. You will be asked about a standard weight. If your shipments all have a pretty standard weight you can enter it to help further expedite the process, or leave it blank if you need to review each package before shipping.
  9. Click Ok when the file export message appears and you can now exit the order processor.
Part 2 - Setting up the Data Source for UPS Worldship to access your file
  1. Go to your ODBC Data Sources by Clicking on Start, then Settings, then Control Panel, then Administrative Tools and then Data sources (ODBC). On some versions of windows the Data Sources option will be directly on the Control Panel Screen.
  2. Click on System DSN
  3. Click on Add

  2. Click on UPS OnLine Connect, located at the top of the window

  6. Enter YOPTOUPS for the name
  7. Click Create
  8. Click on YOPTOUPS and click OK
  9. Use the drop down arrow under ODBC Tables to select "YOPTOUPS.CSV"
  10. Use the drop down arrow under WorldShipFields to select "Ship To"
  11. Below are the fields you need to click on and then click connect to link them up

    Click on ORDERNUMBER (under ODBC Tables) and click on Customer ID (under Worldship Fields) and click Connect

    Now do these same steps for the following field combinations (click on each and click connect):

    • ShipToName - Company Or Name
    • ShipToStreet - Street Address
    • ShipToAddress2 - Room/Floor/Address2
    • ShipToCountry - Country
    • ShipToZip - Postal/Zip Code
    • ShipToCity - City
    • ShipToState - State
    • ShipPhone - Telephone

  12. Now Use the drop down under Worldship Fields to go to Shipment Information (should be up one in the list) and connect the following:

    • EMail - Recipient EMail Address
    • Service - Service Type
    • BillingOption - Billing Option

  13. Now Use the drop down under Worldship Fields to go to Package and connect the following:

    • PackagingType - Package Type
    • PackageWeight - Weight

  14. Now click on ORDERNUMBER under the ODBC Fields and Click on Define Key
  15. Click Ok
  16. Click OK again to exit the create/edit map screen

Daily Export Steps

Part 1 - Export orders from the order processor

  1. Start the order processor
  2. Click on export shipping
  3. Select at least one order to export (more is fine)
  4. Select UPS Worldship as the export type
  5. Click OK
  6. Save your file to c:\ups\YOPTOUPS.csv
  7. Click Save
  8. You will be asked about a standard weight. If your shipments all have a pretty standard weight you can enter it to help further expedite the process, or leave it blank if you need to review each package before shipping.
  9. Click Ok when the file export message appears and you can now exit the order processor.
Part 2 - Import orders to UPS Worldship
  1. Open UPS OnLine WorldShip
  2. Click on UPS OnLine Connect, located at the top of the window
  3. Click on Batch Import
  4. Select the Map Name YOPTOUPS
  5. Check the box near the bottom of the screen if you put in a weight and it can automatically process your shipments (if importing shipments)
  6. If importing to the address book select Overwrite Existing Records
  7. Click Next on the preview window
  8. You can review the summary and click Save to save your imported shipments
Assuming all went without error, you have now imported your data correctly (and processed the shipments if you selected to automatically process with your import).

Your Store Wizards cannot be held liable for any damages caused by using the template transfer utility improperly or by improper use of any self installed templates. We have never had an issue but need the legalese for anyone who might use a screwdriver to hammer a nail.
